The problem is the multiplication
One client with an unclear invoice intake is tiring. Eighty clients each with their own unclear intake are a full-time job of searching, asking and sorting.
The actual problem is not the single invoice. It is the multiplication of inconsistency across many clients.

From mailbox chaos to a status overview
The lever is no longer more staff but overview. Instead of opening eighty mailboxes individually, a status overview answers the decisive questions at a glance: where are open check cases? Which client is ready to close? Where is an approval missing?
That fundamentally changes the work: from “search what is there” to “see what is to be done”.
Uniform does not mean uniform-looking
Standardization sounds like a straitjacket but is the opposite of chaos. Every client keeps their peculiarities — chart of accounts, specifics, contacts. Only the route becomes uniform: one intake, one check step, one status model, one hand-over format.
The client diversity stays. Only the searching and querying work disappears.
Less searching is more margin
Firm work is time. Every minute in the wrong mailbox, every “where is document X” query, every reconstruction of an assignment is unbilled time.
A central view across all clients turns this lost time back into billable or free time. That is the actual business reason behind “multi-client” — not love of technology, but margin.
What a firm needs for it
At its core manageable:
- A uniform, checking intake per client.
- A status overview across all clients.
- Clear states: open, in review, approved, exported.
- A uniform hand-over format despite individual account assignment.
- Audit-proof original filing per client, not in a collective mailbox.
